Once you accept an EAP referral from Clearhead, we will email you invoicing instructions for the client within 48hrs. This email will contain their: Name, Client ID, Organisation and the number of sessions they are entitled to.

Please contact us at therapist-support@myclearhead.com if you have not received this email within 48 hours of the booking.

Referral Fee

Clearhead takes a 20% referral fee for the first session with any EAP client. Going forward, this will also include the first of any extra sessions that are approved for the client:

  • e.g. If you charge $100 per session and you see a client three times, we'll only take $20 as our referral fee from that first session (and nothing from sessions two or three).
  • On the invoice, please show your full session cost (unit price), with the 20% referral fee (discount) applied.
  • Note! With the volume of session extension requests increasing, and the associated level of administration required to process them, we will be charging referral fees for the first of every session extension approved going forward.

Invoicing Details

After your session has concluded, please send your invoice to: invoices@myclearhead.com

  • Invoices need to be in PDF format and attached to the email itself, rather than a link.
  • TIP: If you're using accounting software such as Hnry or Xero, you'll need to check your settings as these are usually defaulted to not attaching the PDF to the email.

  • You are welcome to invoice us after each session, weekly, or monthly.
  • Payment will be made within ten business days of the invoice being received.

Please ensure the following details are visible on your invoice:

  • Session Number & Date
  • Name, Client ID & Organisation (from your invoicing instructions email)
  • Session Cost (and Referral Fee if it's the first session) 
  • Invoice Number
  • GST Number (if registered)
